Non-Elected Positions |
Immediate Past-President - The term for this non-elected office is one year. That year begins following the expired term of the president. CMA bylaws allow for the Immediate Past-President to hold more than one board office.
President -Elect - This one-year elected position will be filled after the CMA Membership Meeting and vote in July of odd-numbered years. It is followed by a two-year term as presidents which is then followed by a one-year term as Immediate Past President.
Faculty Liaison - This office is elected by Level II Certified Creative Motion Instructors. It is a two-year term that is renewable, without formal limitation, but it is the general consensus that the office should rotate regularly. |

JOB DESCRIPTIONS
CREATIVE MOTION ALLIANCE EXECUTIVE BOARD
Please note: These job descriptions were developed in the Fall of 2006
and continue to evolve over time.
Each new officer brings their distinctive gifts to their role.
The job descriptions listed below are to serve as a general guide,
and may be revised and edited at any time
as priorities shift and as each new officer joins the Executive Board.
Minor revisions: July, 2008.
All officers of the executive board shall:
- Attend all meetings of the Executive Board.
- Attend all meetings of the Creative Motion Alliance.
- Inform the President immediately if circumstances prevent attendance at a meeting,
- and arrange to have another board member cover any assigned duties.
- Respond promptly to communications.
- Adhere to Robert’s Rules of Order during meetings.
PRESIDENT
Responsibilities include:
- Serve on the board for four years: one year as President-Elect. Two years as President and one year as Past President.
- Preside at all general meetings of the membership and at all meetings of the Executive Board. There are three annual board meetings: Fall, Spring and at Workshop prior to the General Membership Meeting.
- Determine if a quorum is present for conducting business at meetings: 50% of the active members at workshop for general membership meetings and 100% of board members in attendance if the meeting is held during workshop. Two-thirds of the Executive Board will constitute a quorum at meetings held outside of Windswept.
- Notify all executive board members of meetings in writing, 30 days in advance.
- Write an annual letter to the membership soliciting contributions to the Windswept scholarship fund.
- Send a financial aid application to Windswept to the web master for distribution via the web in February. Work with Financial Aid Committee to determine amount of financial aid to be awarded to applicants. Notify applicants, Treasurer and Director of Workshop of the award amount.
- Appoint a nominating committee chairperson at least three months in advance of elections and ensure that the slate of nominees is presented to all voting members at least one month prior to elections.
- Work closely with the Treasurer and First Vice President to determine an annual budget.
- Preside as Master of Ceremonies or appoint a designee during the recognition and appreciation portion of the Windswept Music Workshop. Announce Katheryn Allen Taylor Scholarship Award winners.
- Oversee the content of the website to ensure that it is accurate, current and meeting the needs of the Alliance
- Ex-officio member of all committees.
- May vote only in the case of a tie.
- Consult the By-Laws and Articles of Incorporation as needed.
- Mentor the President-Elect and transfer the corporate files in a timely and orderly fashion at the end of the Presidential term.
- Handle official correspondence to those outside our membership, including and submission of the Service Mark renewal as needed (2008)
- Serve as Liaison to Web Site, Legalities and Nominating committee.
- Assist with registration at Windswept Music Workshop as needed.
- Serve as the final arbiter in situations that do not require board action.

FIRST VICE PRESIDENT
Responsibilities include:
- Will serve for two years or until a successor is elected.
- Will assume the duties of the president in his/her absence
- Accepts responsibility for planning and implementing Windswept Music Workshop.
- Appoints administrative staff as needed with the approval of the Board President.
- Secures and handles any claims associated with insurance for the workshop.
- Prepares planning committee reports and budgets and presents them to the board.
- Seeks board approval for Director of Workshop, faculty assignments and budget.
- Works with faculty liaison, marketing committee, director of workshop and other administrative staff to complete workshop tasks.
- Updates WMW Planning Committee Pages postings on the CM Website.
- Serve as a Liaison to the Marketing Committee
- Accepts responsibility for planning and implementing a Windswept Weekend workshop or Advanced Workshop at the board’s direction. These workshops will be primarily for those who have previously attended Windswept Summer Workshop and for any colleagues they deem ready to experience the Creative Motion concepts to be presented.

SECOND VICE-PRESIDENT
Responsibilities include:
- Serve a two -year term on the board, or until a successor is elected.
- Serve as director of satellite workshops (formerly mini-workshops,) seeking out opportunities to introduce Creative Motion to new audiences and receiving requests for workshop presentations. A satellite workshop is typically one and a half days or less and geared toward new audiences.
- Match requests/opportunities with those teachers available from a designated list of certified Level II and Level III clinicians, approved by the Executive Board.
- Allocate designated funds to assist with expenses not covered by workshop fees.
- Assist local hosts in developing a budget for the workshop, designed to meet or exceed expenses.
- Forward all satellite workshop information to the Executive Board and the webmaster.
- Liaison to the Marketing/Recruitment Committee

SECRETARY
Responsibilities include:
- Record minutes for meetings of the Executive Board and Alliance.
- In case of unexpected absence, arrange for another to record meeting minutes.
- Distribute board meeting minutes electronically to all members of the executive board.
- Bring hard copies of meeting minutes to all meetings for member review.
- Send an electronic copy of general membership meeting minutes to the webmaster for posting on the CM Website.
- Amend meeting minutes as directed within the meetings, and ensure that the website
- contains versions that are labeled APPROVED or PENDING APPROVAL
- Send letters to delinquent members (of the current year) requesting payment of dues, along with a current Video Release Form to be returned to the webmaster.
- Maintain (or direct a designee to maintain) a data base of members, including their contact information and attendance at workshop.
- Distribute certificates of attendance to workshop participants.
- Serve as a Liaison to the Publications Committee and Grants Committee

TREASURER
Responsibilities include:
- Maintain accurate financial records of the Executive Board and Alliance.
- Deposit checks and process requests for reimbursement in a timely fashion.
- Pay all bills for Windswept, the Creative Motion Alliance and any other sanctioned activities that are approved by the board. Pay reimbursements as authorized, provided that receipts are received by the posted deadline of September 1. If receipts are received after the deadline, a letter recognizing the donation to the alliance shall be sent out for tax deduction purposes.
- Prepare financial reports, including budget allocation and year-to-date spending.
- Maintain an accurate list of members who have paid dues and forward to the
- secretary, publications chair and webmaster.
- Maintain accurate list of financial contribution records and contact information on donors.
- Send donors an official receipt and letter of thanks for tax purposes. Inform the
- President of any significant donations.
- Facilitate the completion of a bi-annual audit, conducted in odd years.
- In case of unexpected absence, arrange for another to present financial reports.
- Work with First Vice-President, Director of Workshop and other designees in handling financial details relevant to Windswept Music Workshop.
- Work with Second Vice-President in handling financial details relevant to (mini) satellite workshops.
- Work with the President and First Vice-President in establishing an annual budget and researching long-term financial issues..
- File form 1096 annually with the IRS and prepare 1099 forms as required for or requested by faculty.
- Liaison to the Scholarship Committee and Auction Committee.
- Financial duties during Windswept Music Workshop include: Workshop including registration, auction, publications, for sale items, private lessons, special interest sessions, receipt reimbursement, etc.

PRESIDENT-ELECT
Responsibilities include:
- Serve a one year term (first of four years)
- Apprentice with the President in preparation for taking office as President in the coming year.
- Assist the treasurer in preparation for Windswept check-out.

IMMEDIATE PAST PRESIDENT
Responsibilities include
- Serve a one-year term (the final of 4 years)
- Monitor the organization’s adherence to By-Laws and Articles of Incorporation.
- Assist the treasurer in preparation for Windswept check-out.
- Assist the President and First Vice-President, as requested.

MEMBER AT LARGE
Responsibilities include:
- Serve a two year term on the board.
- Serve as a special liaison between the membership and the Executive Board
- Serve as Membership Chairman; distributing certificates of membership and supporting materials to new members and encouraging new workshop attendees to become members.
- Communicate with lapsed members to remind them to renew membership and to maintain connection with them.
- Alert the executive board to any personal circumstances about members that are known and would be of interest.
- Serve as liaison to Historian, providing membership lists and any other pertinent member information to be archived.
- Send out a reminder in January and/or April to renew membership by paying dues before General Membership Meeting to be held at Windswept Music Workshop.

FACULTY LIAISON
Responsibilities include:
- Serve on the Windswept Music Workshop Planning Committees for the (two) years following their election.
- Preside over faculty meetings at Windswept Music Workshop, including an introductory meeting held before the workshop begins.
- Facilitate future workshop planning by polling faculty to determine interest and availability at the request of the First Vice-President or Director of Workshop.
- Facilitate the creation of a budget for workshops with regard to faculty salaries.
- Distribute and receive faculty contracts at the request of the board.
- Advise faculty that IRS 1099 forms will only be filed and sent for those whose salary exceeds $600 or upon request to the Treasurer.
- Serve as a special representative between certified teachers and the Executive Board.
- In case of unexpected absence, arrange for another to deliver a report from the liaison.
- Serve as the facilitator of the Faculty Recital at Windswept.
- Collaborate with the Director of Workshop on Evaluation Forms.
- Coordinate with Director of Workshop on issues related to the faculty and graduate credit or CEU offerings.
- Collect evaluations from the Director of Workshop and distribute them to faculty.
- Communicate with faculty regarding issues of relevance from the board.
- Communicate with the board regarding issues of relevance from certified teachers.
- Facilitate the election process by seeking nominees, constructing a ballot, and holding elections for the next faculty liaison preceding the workshop of even-numbered years.
- Seek faculty input from and maintain course catalog for classes offered at Windswept.
- Serve as a resource for all certified teachers.
- Serve as Liaison to Certification Committee
