The meeting was called to order by President Dr. Elizabeth Wallace at 8:15pm.
MINUTES READ AND ACCEPTED:
Minutes of last year’s membership meeting were read. A correction to the minutes on page 3 correcting the name of clinician Henry Leck was accepted.
Dr. Robert Smith moved to accept minutes as corrected. Dr. Harold McKinney seconded. Motion was carried.
TREASURER’S REPORT:
Jackie Spear read the treasurer’s report from 1999-2000 (as of July 21, 2000). Liz announced that we will be able to pay the faculty 100%
Susan McGuire requested info on costs from the 1999 video project. video editing, and postage cost. Phyllis Pasley estimated the total costs at approximately $100 and indicated receipts will be submitted soon.
Mary Ann Fritz moved to accept the treasurer’s report and Harold seconded. Motion carried. Committee reports were then made.
MINI WORKSHOPS REPORTS:
Phyllis Pasley reported on the successful St. Louis Mini Workshop and the Creative Motion workshop with Staff Development Day connection. Harold McKinney reported on the Boone Mini workshop highlighting the strong support network of the Appalachian State Chapter of Phi Mu Alpha Sinfonia.
Doug Jones asked about the possibility of offering Continuing Education or Professional Development credit for mini-workshops. Phyllis Pasley reported on the pursuit of Certified Board of Music Therapist (CBMT) credits for the St. Louis workshop and that continuing education credits and professional development will depend upon the rules for acceptance of each institution.
Harold McKinney reported that he is pursuing funding from “speaker money” funds and may offer an advanced mini-workshop. Dr. Robert Smith reported that there have been other workshop experiences. Northwest Regional Federation of Music Clubs, local music stores, and offerings for Ft Worth area music teachers. Frank Heller reported that he has worked with Charlotte Children’s Choirs providing 5 1hr CM sessions working with children and 2 days of inservice for teachers. Approximately 5-6 small choral workshops employing CM principles are upcoming.
Susan McGuire and Mary Hannah Klontz are considering sponsoring a mini-workshop in Iowa City, and in Virginia - respectively. Mary Hannah would like to receive a mini-Workshop packet.
A $350 grant in seed money may be available to support mini-workshops from the CMA as the budget will allow. Dr. Robert Smith will be the new contact person if you are interested in sponsoring a mini-workshop.
CERTIFICATION COMMITTEE:
John Morrison reported the new revised certification procedures and new certificates were sent to current certificate holders. Currently two candidates are applying for level 1 certification, 1 person has tentatively indicated an interest in level 3, Expenses will be forthcoming for the notebooks, certificates and postage.
Liz Wallace thanked John and the certification committee for all their hard work. Robert Smith, Marilyn Patton served in an advisory capacity.
FUNDRAISING/MARKETING
Marilyn Patton reported that the website is up and running. Development of the site will continue. Future plans include a page on the website for marketing. Members may download sample press releases, ads for local newsletters, national, statewide summer camp offerings to help extend invitations to a larger community of musicians.
To help this subcommittee begin to investigate the feasibility of publicizing the Windswept Music Workshop in a variety of professional publications, members are requested to send addresses and contact information for these magazines to Virginia Brown-Murphy. Liz stated that Virginia also prepared a mini-workshop promotional flyer as well.
Regarding publicizing WMW 2001: If you need extra brochures, please let Mary Ann Fritz know before January 1. Goal is Windswept brochures are in members hands by end of January. Mary Ann will also send flyers for fairs or hand outs.
Susan offered suggestions for future promotional efforts of posters or flyers and Marilyn asked to speak with her later about these suggestions.
Phi Mu Alpha -- National Convention in Ft. Worth was mentioned and a desire to make CM information available at the convention was voiced. Phyllis Pasley reported that a video highlighting the Boone workshop was in progress, and that perhaps other chapters would wish to sponsor a mini-workshop.
Liz thanked Marilyn and the committee for all their hard work.
EXTENSIONS REPORT
Phyllis Pasley reported that two editions of EXTENSIONS were published during this fiscal year and that we were in the process of moving to an electronic version of the newsletter available through the website. Two errors in the final print edition were discovered after publication and it was announced that a corrected copy was available to workshop attendees in the lobby of the dorm. It was noted that currently two of our members( Dan Dodson, Becky Shafer) do not have convenient access to the web or email, and that Phyllis Pasley will make efforts to convey information to them through US Mail or by telephone.
WEBSITE REPORT:
Tom Pasley reported that the Website is up and will continue to develop. He also announced the password which will protect the workshoppers area which is cma.org.
Questions were raised about logistics of the site and search engines, passwords, members areas. Tom and Phyllis Pasley responded that the site would be linked to a variety of search engines, and that in order to protect the privacy of personal information (like new addresses and phone numbers) the workshoppers area password would only be available to those who had attended a workshop, there will also soon be a password to provide access to the members area.
Liz thanked Tom Pasley, John Morrison, Phyllis Pasley, and Sheila Ostrander for their efforts in this area.
JOURNAL OF CREATIVE MOTION
Dr. Mary Ann Fritz reported on the successfully published first edition of the Creative Motion Journal $7.50. Complimentary copies are available to members of the Alliance. This edition is a compilation of the more scholarly articles from EXTENSIONS. Dr. Fritz issued a call for papers for our next issue. “Pedagogy of Creative Motion. How you go about using Creative Motion in teaching?”
Harold McKinney asked about the priceless nature of the materials brought together from the archives for our 50th anniversary celebration, and their availability for further study and research. John Morrison volunteered to be involved in a project to catalog the materials. Tom Pasley indicated an interest in making materials available on-line. Shannon Heller inquired about the prospect of making CM volumes available in bookstores. Mary Ann indicated that our new Journal would be a part of the Library of Congress online listing. Liz Wallace suggested that purchasing additional copies of the journals could be a good tool for recruitment. Dan Dodson asked about availability of Creative Motion books. Red books are currently sold out. White books are available to workshoppers in the silent auction room for $20.
Harold suggested we explore the option of establishing a subcommittee to pursue publishing issues. Eric Kesler volunteered to work with Harold or others on a committee to work to get books in print. Liz suggested the incoming president consider that option.
HISTORIAN AND ANNIVERSARY COMMITTEE
Mary Hannah Klontz reported that the fruits of the work of the committee were revealed on Monday night.
Mary Hannah formally thanked Bob for his wonderful efforts in producing the CD. She further reported that if CD’s are not purchased CMA will suffer financial losses. Additional purchases were encouraged. It was suggested that teachers purchase CD’s and Memory books for themselves and colleagues. Liz suggested that we look at the copyright issues for the CD’s.
Mary Hannah formally thanked Lora Little for all of her efforts with the wonderful displays and availability of precious archival material. She also thanked Tom Crouse, Tom Pasley, Judy Kelly, Sheila Ostrander and Phyllis Pasley for their assistance.
Becky Shafer asked if the 50th Anniversary memory video would be available for sale. Copyright issues must be resolved and releases must be obtained before that would be possible. Liz suggested that members who have served on ByLaw committees, or who have experience with legal or copyright issues volunteer to address these issues.
Lora Little thanked Mary Hannah for her efforts in keeping the committee well informed. Lora also stated that part of the reason the displays were so wonderful, was that people were forthcoming with materials. She indicated that all donations of archival material would be welcome.
NEW DIRECTIONS
In the absence of the chair of this committee, Sheila Ostrander offered a preliminary report stating that there was interest and growth potential in the areas of Music Therapy, Psychology and Art. She further indicated that more details would be available at a later time.
BYLAWS
Jane reviewed the changes that were proposed and mailed to current members. A copy of the proposed bylaw changes are included as an addendum to these minutes. These include changes in the areas of President-Elect, Immediate past president; Faculty Liaison, changes in election years to correct a typographical error and to reflect current practice, and a revised roll call of board members. There was an additional statement added to the board’s responsibility for planning the Windswept Music Workshop, to include a statement indicating that the Executive Board has appointed a committee to plan led by the first Vice-President, the Windswept Music Workshop 2001. The recommendations of the committee were passed unanimously.
There was a motion from the executive board for a change in the membership dues:
1) Annual Membership dues to change from $25 to $35 per year.
2) Lifetime membership of $1000 may be paid over a period of 2 years.
Discussion was held. Phyllis Pasley suggested that the motion be amended to allow the life membership dues to be paid over a period of up to 4 years. Bob Smith seconded the amendment to the motion. Motion as amended was approved with 23 in favor, none opposed, and one abstention.
NOMINATING COMMITTEE
Sheila Ostrander read the list of nominees for election of officers: Marilyn Patton, president; Dr. Robert Smith, second vice-president; Phyllis Pasley, secretary. Nominations were requested from the floor. The vote was held. Marilyn Patton was elected president; Dr. Robert Smith was elected second vice-president; Phyllis Pasley was elected secretary. All were elected unanimously.
Immediate past-president Dr. Elizabeth Wallace thanked the membership for their efforts during her tenure as president. Susan McGuire speaking on behalf of the membership commended Liz for her efforts in serving as CMA president. In token of appreciation, Liz received a standing ovation from the members present.President Marilyn Patton assumed her role as leader of the Creative Motion Alliance.
OTHER
A report was given regarding the plans for WINDSWEPT 2001
The location will again be William Jewell College in Liberty, Missouri. A discussion was held to determine which of the dates available on campus were preferred by the membership. Membership consensus was for July 22-28. Mary Ann Fritz, chair of the committee appointed to help with planning, indicated that she would confirm those dates, and make a flyer to help advertise the upcoming workshops. Other committee members who have been appointed to help with planning are: Frank A. Heller, Robin Hall, Doug Jones, and Harold McKinney.
Shannon Heller asked if other locales for WMW have been investigated. Liz indicated that this has been an ongoing process for years in gathering information to find alternative locations with facility needs and schedules to meet our needs. Discussion ensued. It was determined that people with ideas for locations would contact Mary Ann Fritz.
Jackie Spear offered a motion to adjourn the meeting. Dan Dodson seconded. Meeting adjourned at 10:06pm.
